Workplace Administrator at Oranga Tamariki—Ministry for Children, Auckland

This is an exciting opportunity to join our new Intensive Clinical Services team in a nationally focused support role that helps enable the delivery of high-quality clinical services. The role reports to the Clinical Services Manager and provides flexible administrative and project support across the new national team.  

  • Permanent, fulltime position available
  • Role will be based in Auckland

Mō te tūnga | About the role

The Workplace Administrator plays a critical role in supporting the Clinical Services Manager to implement the new service, and then support the national team once established. The position is varied, fast-paced and offers the opportunity to flex both your project support and administrative skills.

Key responsibilities include assisting with the following: 

  • Providing project and administration support across Intensive Clinical Services nationally 
  • Coordinating travel, meetings, office supplies and other operational requirements
  • Preparing, formatting and maintaining documents, templates, contact databases. 
  • Supporting health and safety administration, tracking and reporting 
  • Processing invoices and accounts-related documentation 
  • Supporting onboarding activities for new kaimahi 
  • Assisting with reporting and improvement initiatives 
  • Helping develop and maintain nationally consistent systems, processes and digital ways of working.

This role offers variety, autonomy and the opportunity to contribute to a new national team directly supporting better futures for children, young people, and their whānau.

 

Ngā pūmanawatanga ōu | What you will bring

To be successful in this role, you will be a highly organised and adaptable administrator who enjoys managing competing priorities while providing excellent customer service. 

You will bring: 

  • Proven experience providing administrative support 
  • Advanced digital skills across Microsoft Office and Adobe Pro 
  • Strong organisational skills with the ability to prioritise work and meet deadlines 
  • Excellent written communication skills with strong attention to detail 
  • Proven ability to build effective working relationships across a range of stakeholders 
  • A proactive and solutions-focused approach to work 
  • Strong initiative, adaptability and the ability to manage varied responsibilities 
  • Experience supporting projects, reporting or operational improvement activities 
  • A collaborative team-focused approach and commitment to continuous improvement
  • Understanding and appreciation of cross-cultural practices particularly knowledge of tikanga Māori, and Pacific peoples’ culture
  • Understanding of the public sector context and agencies involved in providing services for children and young people
  • Some understanding of the Oranga Tamariki Act 1989.
