Team Coordinator - Procurement, Supply Chain and Health Technology Management at Te Whatu Ora, All Locations

About the Role

The Team Coordinator provides high-quality, proactive, and trusted coordination and administrative support that enables the team to operate effectively, efficiently, and with confidence in a complex and fast-paced environment. The role is integral to the smooth delivery of day-to-day operations, ensuring effective coordination of activities, communication, and administrative processes. It supports strong information management, governance and reporting requirements, and the timely follow-through of actions, priorities, and commitments. Through anticipating needs, building effective working relationships, and maintaining organised and efficient systems, the Team Coordinator helps create an environment that supports the team's success and delivery of objectives.

Key responsibilities:

  • Provide professional executive and administrative support to Tier 4 Managers, managing priorities and supporting effective decision-making
  • Coordinate meetings, workshops, and events, including logistics, agenda preparation, minute taking, and action tracking
  • Maintain effective information management, record keeping, and communication processes across teams
  • Support onboarding and offboarding activities, ensuring a positive and seamless employee experience
  • Coordinate operational activities including contact and distribution list management, purchase orders, invoice processing, and travel arrangements
  • Build effective working relationships with internal and external stakeholders to support collaborative and efficient ways of working

About the Team/Service 

The Procurement, Supply Chain and Health Technology (PSC&HTM) team at Health New Zealand | Te Whatu Ora are a national function with a vast and complex scope. They play a critical role in ensuring the availability, safety, and efficiency of clinical and non-clinical goods and services across the health system. Responsible for managing and influencing over $9 billion in annual spend, the team are central to delivering high-quality patient outcomes and standardising product usage across regions.  

About you

You are a highly organised and proactive coordinator who thrives in a fast-paced environment and can confidently manage multiple priorities. You bring a strong customer and stakeholder focus, with the ability to build trusted relationships and work collaboratively across teams. You communicate effectively, demonstrate sound judgement, and take pride in delivering high-quality work with accuracy and attention to detail.

You will bring:

  • Proven experience in an administrative, coordination, or business support role including preparing agendas, taking accurate minutes, and tracking actions through to completion
  • Excellent organisational, planning, and time management skills, with the ability to manage competing priorities
  • Experience supporting senior leaders, large teams, or complex operational environments (desirable)
  • Knowledge of public sector environments or experience working within a large, complex organisation, including an understanding of governance and organisational processes (desirable).
  • An understanding of, or commitment to, implementing Te Tiriti o Waitangi in practice (desirable)
