Project Coordinator - Planning, Funding and Outcomes at Te Whatu Ora, All Locations

About the Role

As a Project Coordinator – Primary Care, you will play a key role in supporting the successful delivery of priority projects that improve primary and community care services across Aotearoa. Working closely with project leads and stakeholders, you'll coordinate project activities, manage timelines, and ensure deliverables are completed to a high standard—on time and within budget.

Day to day, you'll be managing schedules, preparing documentation, coordinating meetings, and supporting communication across a wide range of teams and partners. This is a fast-paced and rewarding role where you'll help remove roadblocks, keep projects on track, and contribute to initiatives that directly impact health outcomes—particularly for communities experiencing inequities.

About the Team/Service/ Location

You'll be joining the Primary Care team within Health NZ | Te Whatu Ora, working collaboratively with colleagues across the motu, including the Living Well team, Data and Digital, and other directorates. The team is passionate about strengthening primary and community care and is committed to achieving equitable health outcomes for Māori, Pacific peoples, and all New Zealanders.

About you

You are a highly organised and driven professional who takes pride in delivering high-quality work that makes a real difference. You're equally comfortable managing the detail as you are building relationships and keeping projects moving forward.

You bring a strong sense of accountability, take initiative, and are confident navigating ambiguity while maintaining focus on outcomes. Your communication style is clear, adaptable, and professional, enabling you to work effectively with both technical and non-technical stakeholders across a wide range of settings.

  • At least 2+ years' experience in administration, contract administration, or project coordination, with a proven track record of supporting successful project delivery
  • Strong technical capability across MS Office Suite (including Excel for tracking and reporting, Word for documentation, and PowerPoint for presentations), with the ability to quickly learn new systems and tools
  • Demonstrated experience developing and maintaining project plans, tracking milestones, managing documentation, and coordinating resources
  • Excellent written and verbal communication skills, with the ability to prepare clear reports, meeting minutes, and stakeholder updates
  • Strong stakeholder management and interpersonal skills, with the ability to build trust and work collaboratively across teams and with external providers
  • Highly organised with exceptional attention to detail, able to manage multiple priorities, deadlines, and competing demands effectively
  • Proven problem-solving and analytical skills, with the confidence to identify risks, escalate issues, and contribute to practical solutions
  • Ability to manage sensitive conversations and navigate complex situations with professionalism and sound judgement
  • A proactive, adaptable mindset with a willingness to learn, take initiative, and contribute beyond your immediate responsibilities
