Executive Assistant and Governance Secretary - Business Services - NPHS at Te Whatu Ora, Auckland

About the Role

We have a unique opportunity available within our Business Services directorate, National Public Health Service (NPHS). The Executive Assistant and Governance Secretary is a pivotal role within the team with responsibilities split between fulfilling the Executive Assistant role to the Head of Business Services and being a governance secretary for the NPHS Leadership Team and its subcommittees.

You will be responsible for managing the Head of Business Services inbox, calendar, meetings, travel/accommodation bookings, onboarding/offboarding staff and other admin related tasks as requested by the Head of Business Services. You will also be expected to prepare agendas, collate and proofread papers for senior leadership team meetings, accurately record minutes, actions and decisions at meetings, and liaise regularly with senior leadership team members to ensure tasks/actions are completed.

About you

As an experienced Executive Assistant and governance secretariat, you will have strong attention to detail, be a good communicator and be able to manage multiple tasks. To be successful you must be able to work at a fast-pace, juggle changing priorities, and be highly organised, with good processes in place.

  • Extensive experience as an Executive Assistant (5+ years) providing support to a senior executive
  • Extensive experience as a governance secretary supporting senior leadership teams, Boards and committees (5+ years)
  • Extensive experience managing inbox, calendar and meetings for busy senior leaders
  • Extensive experience preparing agendas, collating and proofreading meeting papers and accurately recording minutes, actions and decisions
  • Very strong attention to detail
  • Good verbal and oral communication skills, and ability to engage and work effectively with senior leaders
