Administration Support Officer - Hawkes Bay Regional Prison at Ara Poutama Aotearoa (Department of Corrections), Hawkes Bay (Te Matau a Maui)

Mō te tūnga | About the role

When you speak with this team, they will often talk about the variety in their day as one of the things they love the most. There certainly isn't ever a dull moment here, that is for sure! 

This is an essential role that is responsible for receiving inwards goods for distribution around Hawkes Bay Regional Prison, in an efficient and effective manner, ensuring that deliveries are timely in accordance with prison rules, routines and procedures. You will be physically delivering goods around the site daily, so this position will help keep your steps up and gets you out from behind the desk. This is a big site so physical fitness is essential, as there is a bit of walking involved to make the deliveries across the site.

This varied role encompasses accounts and office support and is based within the prison site in Hastings. The below provides a snapshot of what a day might look like but does not cover it all:

  • Set up, management of and receipting for Prisoner Trust Accounts
  • Accounts payable including reconciliations, receiving inwards goods, maintaining inventory, regular stock takes and more
  • General admininstration including telephone support, processing incoming mail including prisoner mail, couriers, copying, filing and more
  • Payroll support that will include collecting timesheets, assisting managers with leave information and overtime data, support management responding to HR queries
  • Financial support including general ledger reconciliations, receipting of goods, purchasing, financial reports, month end reports and accruals plus a lot more


Mōu | About you 

We are looking for someone with a go getter attitude and who is able to showcase their skills and experience in the following areas:

  • Sound computer skills and experience with Microsoft Office products, especially Excel
  • Good written and oral communications skills
  • Excellent time management silks and a keen eye for detail
  • The ability to maintain a high level of confidentiality
  • Working in a team environment as well as autonomously
  • Willingness to undertake and complete a varied range of administrative tasks
  • A good level of physical fitness is also essential to unload pallets of consumables/stock/stationery and supplies as well as delivering items across the site
  • Full NZ Drivers Licence

If you enjoy a variety of tasks, like getting out from behind a desk sometimes but also have some accounts and general office expertise then this could be a great option for you. 

Applicants must have the legal right to work in New Zealand. In line with Immigration New Zealand requirements, we are required to give priority to candidates who already hold this right. As a result, we may are not able to support visa applications for this role.

Utu ā-tau | Salary

The salary range effective 1 July 2025 range is $64,717 - $68,434 per annum across 2 levels. Appointment and remuneration will reflect skills and experience relevant to the role.
