Executive Support at NZ Ministry of Justice, Wellington City

Te Haeata/The Opportunity

We are currently recruiting for an experienced Executive Support to join the Senior, Employment, Environment, and Coroners Courts group within Operations and Service Delivery. Our Executive Support team plays a crucial role in supporting the management team and the wider Group and while you will be primarily responsible for supporting one Group Manager, you will be working with multiple managers and teams within this space.

Your key responsibilities in this role will include:

  • diary and calendar management including scheduling internal and external meetings
  • multiple inbox management
  • coordinating documentation for meetings
  • travel and accommodation management
  • booking venues and organising team events
  • supporting recruitment processes
  • managing correspondence
  • supporting the wider Executive Support team with general administration
  • coordinating internal reporting
  • providing secretariat support to internal committees and forums, and
  • contributing to wider process improvements.

 

Ō pūkenga/Skills and Experience

To be successful in the role you will have:

  • strong working knowledge of the MS Office suite, ideally including familiarity with MS Teams and SharePoint
  • excellent time management skills
  • confidence in working with all levels of management
  • strong interpersonal skills
  • the ability to multitask, reprioritise and triage the day's tasks dependant on the unit's needs
  • a high level of discretion in handling confidential and sensitive information
  • experience working in an Executive Assistant/Support role.

The ideal applicant will have a good grounding in working in the public sector and will be able to ‘hit the ground running'. We are looking for applicants who are comfortable in a fast-paced environment, who have plenty of initiative and a willingness to get stuck in.

Utu ā-tau/Salary

The remuneration band for this role is $59,729 - $80,794 based on skills and experience.
