About the Role

We are seeking an organised, proactive and customer-focused Administrator Assitant to support patient access to healthcare services within our busy team at Palmerston North Hospital.

This role is essential to ensuring patients receive timely and efficient care. You will be responsible for coordinating patient bookings, supporting clinic flow, and maintaining accurate administrative processes in line with Health New Zealand | Te Whatu Ora and Ministry of Health (MoH) guidelines.

Working closely with both clinical and administrative teams, you will contribute to coordinating patient bookings, waitlist management, service targets, and high-quality patient-focused administration support.

Key Responsibilities:

  • Patient Booking & Clinic Coordination
  • Schedule and manage outpatient and inpatient bookings in line with national guidelines
  • Coordinate clinic flow to ensure efficient patient journeys
  • Communicate booking details clearly and professionally with patients
  • Maintain accurate and auditable data in patient management systems
  • Support clinic utilisation and resource coordination
  • Waitlist & Administration Management
  • Manage cancellations, rescheduling, and non-attendance
  • Monitor appointment bookings and patient attendance
  • Support clinic preparation and follow-up administration
  • Identify and escalate issues affecting patient flow or service delivery
  • Customer Service & Team Support
  • Provide professional, empathetic, and respectful service to patients and whānau
  • Maintain confidentiality and uphold privacy standards at all times
  • Undertake reception and front-of-house duties
  • Collaborate across clinical and administrative teams to support service delivery

About you

You will be a highly organised administrator with strong attention to detail and a passion for delivering excellent customer service in a fast-paced healthcare environment.

Essential Skills & Experience

  • Excellent customer service and communication skills
  • Strong organisation, time management, and problem-solving ability
  • High level of accuracy and attention to detail
  • Ability to manage multiple priorities and meet deadlines
  • Confidence using systems and learning new applications
  • Intermediate to advanced Microsoft Office skills (Word, Outlook, Excel)
  • Ability to work both independently and as part of a large team
  • Strong written and verbal communication skills

Desirable

  • Previous healthcare administration experience
  • Knowledge of medical terminology
  • Fast and accurate keyboard skills
  • Familiarity with hospital patient management systems
  • Awareness of and respect for diverse cultural backgrounds
