Mō tēnei tūranga mahi | About this role

Programme Administrator - Pae Ora

Te Rito (working title)

1.0 FTE | Palmerston North

He tūranga hou. He kaupapa whai take.

Are you an organised, proactive administrator who takes pride in your mahi, enjoys finding smarter ways of working, and wants your skills to contribute to better outcomes for Māori?

Pae Ora Paiaka Whaiora is looking for a Programme Administrator to provide administration, information and reporting support across our developing SUDI Prevention Programme, and the Pae Ora Paiaka Whaiora - Whānau Care Team.

Strong administration sits at the heart of this role. We are looking for someone who enjoys creating order, keeping things moving, making sure the details are right, and helping make the mahi happening across our programmes and services visible.

 What you'll be doing

This is a varied role that will include:

  • Providing day-to-day programme and service administration.
  • Supporting programme hui, wānanga, registrations, communications, education and health-promotion activities, including SUDI prevention initiatives.
  • Maintaining Safe Sleep Bed stock, distribution and programme information.
  • Supporting local, regional and national SUDI reporting, including visibility of barriers, unmet need and service gaps.
  • Supporting Whānau Care Team referral administration, team processes and service reporting.
  • Supporting purchasing, invoices, resources and operational administration.
  • Using Microsoft 365 and established digital workflows to support efficient administration and information management.
  • Identifying opportunities to simplify processes, reduce duplication and improve the way we work.

About you

You will be someone who:

  • Has strong administration and organisational skills.
  • Takes pride in accuracy and getting the details right.
  • Is proactive, dependable and comfortable using initiative.
  • Communicates well and enjoys working collaboratively.
  • Can manage competing priorities and adapt as the mahi evolves.
  • Is confident using standard Microsoft Office applications and willing to learn new digital systems.
  • Is comfortable working with registers, information and reporting requirements.
  • Understands the importance of privacy, confidentiality and responsible stewardship of whānau information.
  • Brings manaakitanga, whanaungatanga and respect to the way you work with others.
  • Values te reo Māori, tikanga Māori and kaupapa Māori approaches to health and wellbeing.

Experience with SharePoint, Microsoft Forms, Lists, digital workflows, programme administration, reporting or stock-management systems would be an advantage, but you don't need to arrive as a digital or data specialist.

Why this role?

This is a new role and an opportunity to help establish strong administrative systems as the programme continues to develop.

If you are someone who enjoys getting things organised, likes asking “Is there a better way we could do this?”, and wants to bring your administration skills into a Māori health environment where your contribution will matter, we would love to hear from you.
