About our team and who we are looking for


At Insights MSD we help the Ministry to make better decisions using our expertise for research, evaluation, reporting and data analytics. Our focus is on supporting the integration of insights into action, and contributing to innovation and continuous improvement.


We are seeking an accomplished Executive Assistant with 3+ years' experience. This role is far more than just diary management you will be an important member of the leadership team and encouraged to contribute and show initiative at meetings not take minutes. You will have excellent interpersonal communication skills and have confidence to deal with people at all levels. Have practically perfect organizational skills to support two busy Managers.

 
You will be responsible for the following (but not limited to):

  • Act as a first point “filter” for people contacting the General Manager
  • diary management, meeting scheduling,travel arrangement for two Managers
  • financial administration in collaboration with the group's finance manager
  • HR administration
  • Coordinate events
  • Proactive first drafting of communications
  • Updating our intranet presence as required
  • Setting agendas and following up on actions

 
To be successful in the role:

  • you are always on the front foot of your Managers needs and have a proactive, "can-do" attitude
  • you prioritise and resolve conflicting demands on time
  • excellent communication skills – written and verbal
  • Strong multi-tasking and time-management skills
  • Mastery of MS suite especially in Word, Outlook and PowerPoint
  • relationship building skills with a variety of people

 
Desirable but not necessary:

  • experience with Agile methodologies
  • basic graphic design experience
