Job Description

The Ministry of Foreign Affairs and Trade (the Ministry) acts in the world to make New Zealanders safer and more prosperous. We provide advice to the Government on the implications for New Zealand of what is happening in the world.

Do you enjoy working to support others to be successful and strive to provide a professional service? If this sounds like you, we want to talk to you about a fantastic Team Administrator position (x2) based in the Facilities and Business Services Division (FBS).

The position is a pivotal role with tonnes of variety: organising domestic and international travel, visa applications, meeting scheduling and minute taking, diary management, recruitment support, invoicing and much more.

Skills and Experience

As a Team Administrator you will need to be customer focused, flexible and agile with a positive proactive approach.

You will also:

  • Have a proven track record of experience and success in providing Administrative support to teams and managers.
  • Be an expert in using Microsoft Office Suite, including Outlook, Word and Excel.
  • Demonstrate agility in supporting multiple teams and responding to changes in priorities.
  • Able to anticipate problems and present solutions.
  • Have sound relationship management skills – and the confidence to follow up with managers when necessary.
  • Have a proactive approach and ability to use your initiative.
  • Need to communicate well, with a sense of humour and professionalism.
  • Possess the ability to remain calm under pressure, be able to multitask and cope with interruptions while maintaining the highest standard in your work.  
  • Embrace working in a dynamic, stimulating environment where attention to detail is a must.
  • Government experience would be a bonus but is not essential.

Applicants must be NZ citizens or permanent resident and be able to obtain and maintain an appropriate New Zealand Government Security clearance.
