Functions Coordinators - Multiple roles and levels at Te Papa, Wellington - Wairarapa

Te Papa stands proud as an iconic national building housing the treasures of the nation and is a vibrant destination for both national and international visitors. We've now also partnered with Wellington City Council to operate Tākina, Wellington's newest Convention and Exhibition Centre. Our Venues team is world-class, delivering the event operations and hospitality across both Te Papa and Tākina.

The Tākina Events team is therefore looking for motivated, detail-oriented and experienced events people to join our close-knit team. Being responsible for planning, designing and managing unique and memorable client events, you will have a proven track record in event management, client liaison, relationship building and customer service. The focus is on coordination and delivery of large single day and multi-day significant events to a high level of customer satisfaction.

There are roles available in different positions, Functions Coordinator and Senior Functions Coordinator and the successful applicant will be appointed based on experience and skill set.

All positions need a good knowledge of food and beverage, audio visual production and operation of large scale events. Tākina Events runs multiple functions and events daily so we need a fit individual who can handle the pressure of a busy, always constant and on the go role. 

The Functions Coordinator / Senior Functions Coordinator will:

  • Plan, design and manage unique and memorable client events so they are delivered efficiently, effectively and to Te Papa's quality standards
  • sell and coordinate events by following up business opportunities by pursuing qualified leads generated by sales, marketing and promotional activity and/or own initiatives
  • build and maintaining positive relationships with all internal and external stakeholders as well as with existing and potential clients

These are full-time permanent positions which require a lot of flexibility in managing the standard working hours. You'll need to be available to work on weekends, start earlier and work into the evening to meet the event requirements and expectations of clients.

Ideally you have a passion for creating WOW factor functions and events and have highly effective planning and organisational skills to juggle the various demands on your time. You'll be comfortable using Microsoft Office including Visio and experience in using Ungerboeck Planner is a bonus.

The appointing salary for this role will be $57,165 - $69,869 with further room for progression through the band. Offers will be made within the range to reflect the skills and experience offered by the candidate, those required of the role, and internal relativities with other employees.
