Reporting to the General Manager (GM) of our international division, we have a exciting opportunity available for a senior Executive Assistant (EA) to join our Auckland office where you would join a wider international team that makes a real difference for New Zealand businesses wanting to grow internationally. Our people are based in 50 offices, working across 24 time zones and 40 languages to support New Zealand businesses internationally.
What you'll be doing - Te whakamahere
As an Executive Assistant, you'll provide high-level administrative and operational support and act as a trusted advisor to the GM International - you'll fundamentally become an extension of the GM and make her working life/activities seamless, including being trusted to make key business decisions on her behalf.
You'll use your administration expertise, excellent relationship management and interpersonal skills to successfully work with key stakeholders across the GM International leadership team, our wider leadership team, and our global organisation for both BAU and projects support work – with the majority of the time spent on administration tasks. Responsibilities include but are not limited to:
- Proactive and efficient diary, meeting, and travel management – including being two steps ahead to manage diaries and schedules
- Assistance with Board papers, supporting team meetings with documentation and presentations
- Ensuring the GM is well briefed and prepared for meetings
- Supporting the communications link between the GM and other parts of the business through strong relationship building
- Project and event coordination support including leading the delivery and implementation of smaller projects when required
You'll need to have high grade prioritisation skills with the flexibility to multitask when priorities change. We expect that you will be self-directed and self-motivated and be process improvement focused.
What you'll need to be successful - Ō Pūkenga
We're looking for a senior Executive Assistant who has a customer-focused mindset and ideally has a background in supporting and acting as a trusted advisor to a busy senior stakeholder, where you have used your administration expertise, excellent relationship management skills and adaptable nature to anticipate needs. You'll be a skilled gatekeeper, always two steps ahead when prioritising diary commitments and travel arrangements and be comfortable pushing back when required.
You'll also be an amazing relationship builder and are able to build relationships with stakeholders in our international offices. You'll process outstanding communication skills - written and spoken and you'll be a people person that is passionate about building team culture and being an active member of our one global team.
You'll be proactive, self-directed and motivated and be comfortable in suggesting new ways of doing things or putting better processes in place and will also have exceptional prioritisation skills with the flexibility to multitask when priorities change. You'll have a strong administration background, be tech savvy (MS Office), and most importantly be a self-starter.
A sense of humour is a must, as is having strong time management skills and being a natural solution finder with high levels of initiative, with a resourceful approach to achieve the desired outcome. You'll also be very agile and resilient under pressure and during change.
