Security Executive Support Officer at NZ Defence Force, Wellington - Wairarapa

Mō te tūnga | About the role

You will be supporting the Director Security and the Senior Leadership Team in critical administration functions for the Directorate of Defence Security. This is a busy role working autonomously to manage all administrative requirements, solve problems and proactively support the Chief of Staff and the wider team.

A typical day could include:

  • Providing high level, professional executive support to the Director and Senior Leadership Team;
  • Managing emails with the ability to answer enquiries and prioritise required actions;
  • Coordinating calendars, including maintaining diaries, managing conflicting appointments and booking rooms;
  • Engaging with wider team and stakeholders on behalf of Director;
  • Managing documentation through electronic filing;
  • Payment of invoices and reconciling accounts; and
  • Supporting the Chief of Staff with the annual budget build and monthly financial accountabilities.

You will need exceptional communication skills with the ability to positively engage with a wide range of people across all levels of the organisation and the public, as well as building trust and confidence at a senior level. It is important that you can multitask and prioritise workflow, while understand the needs of the Director and teams, and have the ability to adapt to changing priorities at short notice.

Some of the skills required to be successful in this role are:

  • At least five years' experience in office management or as an Executive Assistant;
  • Strong interpersonal skills to build effective relationships with key stakeholders;
  • Exceptional writing skills and researching abilities;
  • The confidence to work autonomously, as well as part of the wider team; and
  • Strong technical ability, including good knowledge of MS Office Suite.

An understanding of Security could be an advantage, but not essential for the role.

Please note: This role may require some international and national travel between NZDF Bases and camps, and the occasional requirement to work outside of regular business hours.

Please note: Applicants must be legally entitled to work in New Zealand (NZ) and be able to obtain and maintain the required level of NZ Government security clearance for the position applied for. The minimum citizenship and residency criteria for security clearances to be granted by the NZ Defence Force are as follows:

Higher level Security Clearance

  • most preferably a NZ citizen who has resided continuously in this country for the last 10 years, OR
  • is a citizen of, and/or has resided continuously in one or more of the following countries for the last 10 years: either Australia, Canada, NZ, UK or the USA; and has a background history that is verifiable and can be assessed as appropriate by the NZSIS towards a recommendation of suitability for a security clearance at a higher level.

If you do not meet these minimum criteria, we will not be able to accept your application.
