Administration Assistant at NZ Defence Force, Wellington - Wairarapa

Mō te tūnga | About the role

You will be providing administration support to the Chief of Staff, Operations Manager and wider Directorate of Engineering and Technical Airworthiness (DETA) team as part of the New Zealand Defence Force (NZDF).

Duties for this role include:

  • Supporting monthly board meetings, including taking and distributing minutes;
  • Managing office administration needs, including booking travel, accommodation and meeting rooms;
  • Assisting the Operations Manager with event planning and coordination;
  • Performing financial tasks, including minor cost centre approvals in SAP;
  • Liaising with internal and external stakeholders, as well as wider team on bases; and
  • Performing other administration support as required.

Please Note: The formal title for this role within NZDF is Executive Support Coordinator.

You will need a can-do attitude, be approachable and happy to go the extra mile to ensure that all tasks are completed to a high standard, while also being adaptable in your approach when dealing with ambiguity. Exceptional communication skills and the ability to build and maintain strong working relationships at all levels of the organisation will be key for success within this role. This role has the opportunity to improve current processes, so initiative and forward thinking would be an advantage.

Ideally you will have:

  • Experience in administration positions providing support to senior stakeholders;
  • Ability to prioritise workflow and stay organised;
  • An understanding of NZDF systems and environment;
  • Experience with document management systems and filing; and
  • Good technical ability, including a high proficiency in MS Office Suite.

The purpose of the Office of the Chief Engineer (OCE) is to be an enabler for the NZDF delivery of effective military air capabilities through the development of a suitably qualified and experienced technical workforce. The OCE supports the implementation of the Chief Engineer's orders and instructions, through monitoring of quality systems and continued improvement of technical/aeronautical policies and training, processes, regulations, standards and specifications. The OCE is responsible for specialist project work and the management of engineering officer training, postings/appointments.

The minimum citizenship and residency criteria for security clearances to be granted by the NZ Defence Force are as follows:

Low level Security Clearance

  • most preferably a NZ citizen, who has resided in this country continuously for at least the last five years, OR
  • is a citizen of, and/or has resided continuously in one or more of the following countries for the last five years: either Australia, Canada, NZ, the United Kingdom (UK) or the United States of America (USA); and has a background history that is verifiable and can be assessed as appropriate by the NZ Security Intelligence Service (NZSIS) towards a recommendation of suitability for a security clearance at this level.

If you do not meet these minimum criteria, we will not be able to accept your application.
