We're looking for someone curious, organised, and eager to learn. You don't need archives qualifications or experience to succeed in this role. If you've developed strong customer service, administration, retail, hospitality, or other transferable skills, we can teach you the rest.
Help preserve New Zealand's military history while supporting veterans, service personnel and their whānau.
This is a unique opportunity to build specialist skills in archives, information management, and information release while working with records that tell the stories of generations of New Zealanders who have served their country.
As an Archives and Information Release Advisor, you'll work across two fascinating areas of our business. Part of your role involves managing and preserving military personnel records, ensuring they remain accessible and protected for future generations. The other part involves helping people access information from those records in accordance with legislation and established processes.
No two days are the same. You could be:
- Retrieving and managing historical military personnel files;
- Assisting veterans, family members and researchers with information requests;
- Preparing documents for release under the Official Information Act and Privacy Act;
- Researching and locating records across multiple databases;
- Scanning, copying and preserving important historical records;
- Updating information systems and tracking requests; and
- Providing excellent customer service via phone, email and in person.
Please note: Due to the nature of the role and the requirement to work with physical archives and records, this position is based on site at Trentham Military Camp and does not offer work from home arrangements.

We're more interested in your attitude, potential, and willingness to learn than whether you've worked in archives before.
You might currently work in administration, customer service, retail, hospitality, logistics, libraries, museums, call centres, or another people-focused environment.
To be successful, you'll bring:
- Strong attention to detail and accuracy;
- Great customer service skills and a willingness to help people;
- Strong written and verbal communication skills;
- Sound computer skills and confidence learning new systems;
- Good organisation and time management;
- The ability to work independently while contributing to a close-knit team;
- A proactive and positive approach to problem solving; and
- A willingness to learn new legislation, processes and specialised skills.
An interest in history, genealogy, military heritage, archives, research, or information management would be an advantage, but is not essential.

To be eligible for the required level of government security clearance with the NZ Defence Force, you need to meet certain citizenship and residency criteria. Here's what you need to know:
Low Level Security Clearance
- You must be a New Zealand citizen or you must hold New Zealand Permanent Residence or have a current New Zealand Residency Class Visa.
- At minimum, you must hold New Zealand Permanent Residence or have a current New Zealand Residency Class Visa, and you must be a citizen of and have lived in Australia, Canada, United Kingdom, United States of America or New Zealand continuously for the last five (5) years.
- You must have a five (5) year background history that can be verified and assessed appropriately by the NZ Security Intelligence Service (NZSIS) to determine if you are suitable for a security clearance at this level.
