Administration Support Officer

Location: Spring Hill Corrections Facility
Vacancy Number: CSCR8902

 

We are currently looking for a full time, permanent Administration Support Officer who will be based at Spring Hill Corrections Facility, Hampton Downs, Meremere.

 

The Administration Support Officer reports to the Administration Team Leader and ensures the smooth and efficient completion of all administrative tasks.

 

Responsibilities will include (but not limited to):

 

  • Processing the receipt and dispatch of Prisoner mail,
  • Providing comprehensive filing systems and support as required to the receiving office and remand areas
  • Covering for Stores and Distribution as required
  • Receive, record and store all inward goods
  • Assign, record and dispatch goods
  • Maintain the Inventory Control System
  • Telephone Support
  • Trust functions
  • Various Ad Hoc duties

 

You may be required to also provide support to the team by processing invoices, accounts and SAP tasks, month end procedures, reconciliation as well as assisting with reporting requirements. With your knowledge and experience you will identify opportunities for efficiencies and improvements to our systems and procedures, providing smarter, more effective ways of working.

The preferred candidate will demonstrate;

 

  • Frontline reception experience
  • Knowledge/understanding of SAP
  • exceptional organisational skills
  • the ability to multi task in their support of multiple stakeholders
  • sound judgment in the prioritising of tasks and activities to meet deadlines
  • excellent customer facing and communication skills
  • resilience and a pragmatic approach to problem solving
  • accuracy and attention to detail
  • a high level of proficiency in computer software and database systems
