About this role
We are looking for a proactive and highly organised Executive Assistant to support the Deputy Chief Executive (DCE) of our Assessment Division.
The Assessment Division administers the NCEA, oversees internal assessment quality assurance and develops and delivers external assessment. The division also plays a key role in recognizing and credentialling mātauranga Māori, acts as a standard setting body, and develops qualifications in various areas.
The work of the Assessment Division is high profile and as an experienced Executive Assistant, you will ensure that the DCE has excellent support, enabling them to focus on the business needs of NZQA now and into the future.
In this role you will be responsible for:
- Confidential secretarial and diary management support provided to the Deputy Chief Executive, to assist them to carry out their role efficiently.
- Organising meetings, and ensuring the DCE is well-prepared for them
- Monitoring key projects on the division's work programme, ensuring briefings and other key papers are provided
- Dealing with incoming correspondence including official correspondence and Official Information Act requests, drafting letters, and taking meeting minutes
- Liaising with external organisations and their representatives
About you
You will be an excellent organiser and communicator with a proactive, can-do and professional attitude. You will need very strong multi-tasking skills and the flexibility to work in a dynamic environment and you'll work well under pressure to meet tight deadlines.
Key requirements:
- Previous experience as an EA or PA within a large and/or complex organisation
- Managing multiple internal and external stakeholders including senior leadership teams
- Strong organisational skills, and attention to detail, with the ability to multitask and prioritise effectively
- Highly developed communication skills, with the ability to express complex matters in a concise and easily understandable manner.
- A high level of computer literacy in Microsoft packages
