We're looking for a friendly, organised, and customer-focused Receptionist Administrator to join our Surgical Services team. Based across the 4th Floor and Frederick Street Outpatients, you'll play an important role in ensuring patients, whānau, clinicians, and visitors receive a professional and welcoming experience from the moment they arrive.

About the role

As a Receptionist/Administrator, you'll be the first point of contact for patients and visitors while providing essential administrative support that keeps our outpatient clinics running efficiently. Working alongside a supportive team, you'll help coordinate patient journeys and ensure clinical services operate smoothly.

Your day-to-day responsibilities will include:

  • Greeting and assisting patients, whānau, and visitors with professionalism and compassion.
  • Managing reception, telephone, email, and general enquiries.
  • Processing patient arrivals and maintaining accurate patient information.
  • Loading and processing referrals within agreed timeframes.
  • Scanning, filing, and maintaining patient records in line with organisational standards.
  • Ordering office supplies and supporting general administrative functions.
  • Working collaboratively with clinical and administrative teams to ensure an efficient patient experience.

Providing administrative support across the wider team as required.

About you

You'll be someone who enjoys helping people and can remain calm, organised, and accurate in a busy healthcare environment. You have excellent communication skills, are confident using computer systems, and understand the importance of confidentiality when working with patient information.

To be successful in this role, you'll bring:

  • A minimum of NCEA Level 1 (or equivalent).
  • Excellent computer skills, including Microsoft Word, Excel, and Outlook.
  • Strong organisational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • A positive, proactive approach and the ability to work both independently and as part of a team.
  • A commitment to providing exceptional customer service.
  • Respect for patient privacy and confidentiality.

Previous health sector experience would be highly regarded but is not essential.
