Mō te tūnga | About the role

 

The role of the File Management Support Officer (FMSO) is an integral part of Counties Manukau’s service delivery. This role manages a high volume of interactions with both public and internal departments and tasks ranging from creating reports for customers, assessing files reported through 105 non-emergency and Online Reporting and entering charges for Court in alignment with Police policies and procedures.  

 

The ideal FMSO will be a hard-working team player, who is familiar with working in an agile environment and committed to being part of a high performing team.  You will also have a clear understanding of our Business and model the New Zealand Police Values – Professionalism, Respect, Integrity, Commitment to Māori and The Treaty, Empathy and Valuing Diversity.

 

 

 

Key Accountabilities:

 

  • Ensures completion and correct filing of all related documentation, i.e. separate file attachments, DNA and Fingerprint evidence.
  • Completes all NIA transactions, i.e. Docloc, Stats modifications and entries, file minuting, pre-formatted screens, file modifications.
  • Disclosure of files as required within the provisions of the Privacy Act and Official Information Act.
  • Provides support services for the accurate completion of DNA paperwork.
  • Prepares correspondence to insurance companies, victims, Police staff.
  • Sets up templates and streamlining work systems on the computer.
  • Conducts appropriate telephone enquiries in respect of files being requested for Official Information Act and Privacy Act requests as and when required.
  • Deals with routine enquiries from staff regarding files being prepared by File Management Centre.
  • Receives all forensic results for District, updates NIA, forwards to appropriate area and follows up on results to ensure actioned.
  • Promptly answers, screens and redirects all telephone calls in a polite and helpful manner.

Utu ā-tau | Salary

 

This position is covered by a collective agreement and salary will commence from between $64,161.00 - $66,975.00 dependent on skills and experience relevant to the role.
