Administrator - Complaints, Performance & Finance

Madras Campus, Christchurch

Permanent, proportional (0.6 FTE)

 

  • Deliver efficient administration support
  • Provide PA services to Senior Management

The Corporate Services Division consists of the following teams, Strategy and Planning, ICT, Facilities Management, Finance and Organisational Performance. The Teams within DCE – COO portfolio are interconnected within their work streams and as such are considered business partners. This team supports Ara to achieve its organisational purpose by ensuring that objectives and priorities are clearly communicated to all, outcomes are monitored and reported, and that resources, systems, and infrastructure are aligned in an efficient, sustainable, and effective way.

 

The Role

  • Effective and efficient administration and administration leadership
  • PA services (administrative, organisational, secretarial support) to the Organisational Performance & Finance Managers
  • Administrative support and project coordination
  • Advice and leadership to the senior managers to ensure business systems and processes are planned and integrated & support the team(s) performance targets

 

Duties

  • Deliver confidential and high-quality administration support
  • Organise and prioritise- e.g. acknowledgements, follow-ups, people and places
  • Provide complaint support
  • Work with Managers & team members to ensure that processes, systems and service are customer focused, efficient, compliant and continually improved
  • Deliver timely collation and publication of reports, distribution, minutes, meeting agenda and follow up
  • Diary and communications management & maintenance

 

Skills/Experience

  • Significant experience in a multifunctional administration and senior management support
  • Advanced level of expertise in Word, Excel and Outlook including diagrams & charts
  • Exceptional time management
  • Ability to develop templates or tools using the available software
  • Proactive about continuous improvement
