Job Description

Would you like to work as part of a collaborative and energetic team in a central Wellington location?

Two exciting opportunities have arisen to work in the Financial & Commercial and Capital Markets teams.

About the roles

We are looking for two experienced Executive Assistants - one supporting the Deputy Secretary, Financial and Commercial; and one supporting the Director, Capital Markets. In these roles, you are able to be their partner in identifying priorities, fielding communications and ensuring their time is spent in the right places (and knowing when and where not to pull them out of a meeting)!

If you are committed to delivering a high standard of administrative support, are continuously thinking how you can do this better and are known for being one-step ahead, then these are the opportunities for you.

About you

Using your great organisational and time management skills, you will be exceptional at email and diary management.

To be successful in the role you will:

  • Pre-empt the Deputy Secretary's/Director's needs, exercise judgement based on those needs and co-ordinate information and resources for their commitments
  • Be task-driven (complex diary and email management) but also play a key strategic support role
  • Be innovative and creative in thinking through issues and problems
  • Be able to multi-task, prioritise and react to issues that arise during the day whilst keeping calm and professional in demanding situations
  • Be agile and flexible to changing needs and expectations
  • Have highly developed communication skills, both written and verbal, with stakeholders
  • Have excellent planning and organisational skills in a complex work environment including time and workflow management and prioritising tasks and responsibilities
  • Be able to negotiate and influence
  • Co-ordinate, organise and execute requirements for meetings
  • Prepare and draft correspondence including emails, reports and documents
  • Focus on getting the details right
  • Be able to work independently and as part of team
  • Have proven experience with MS-Office suite
