Job Description

Maritime NZ is the national regulatory, compliance and response agency operating in the maritime sector for the safety, security and environmental protection of maritime waters.

With the upcoming 36th America's Cup, Maritime NZ is working across government and with industry members to contribute to a safe, secure and clean event.

About the role

The Project Administrator, America's Cup (AC36) will provide administration support to the Programme Manager (AC36), and the core project team during the planning and operational delivery of the America's Cup project. Please note this is a fixed-term contract until 30 June 2021.

As the Project Administrator, you will be responsible for the following:

  • Coordinating and attending project team meetings, including preparation of agenda, taking and distribution of minutes, and follow up action points
  • Organising domestic travel and accommodation in accordance with Maritime NZ policies and procedures
  • As part of induction processes, training and providing support to new team members in using Maritime NZ templates and systems as required
  • Coordinating, liaising and networking with Maritime NZ administrators to share, develop and maintain better administration practice
  • Providing secretariat support including calendar management, minute taking, meeting organisation, and other activities as required
  • Providing administration and/or coordination support as required to operational personnel including Maritime Officers during the delivery of the America's Cup project
  • Finance and cost centre administration
  • Records and document management

About you

This is an exciting and critical project to contribute to safe, secure and clean America's Cup in New Zealand.

With a pragmatic approach you will be a bright self-starter with the ability to build relationships, across internal stakeholder groups.

To be successful you will also have the following:

  • Recent experience working in an administration role and advanced administration skills
  • Knowledge of project planning and project management processes, practices, tools and techniques
  • High level of organisational and planning ability
  • Proven ability to develop and maintain constructive relationships with internal and external stakeholders
  • Excellent data entry skills
  • Sound working knowledge of MS Office products (Outlook, Word, Excel, PowerPoint) and experience using in house systems with a high level of competency
