We are seeking an experienced Executive Assistant to support the Manager and team of this important programme within the National Screening Unit at the Ministry of Health.

 

The Population Health and Prevention Directorate at the Ministry is responsible for working across sectors to achieve health equity and protect, promote and improve the health and wellbeing of people, families and communities. Alongside the National Screening Unit, the Directorate includes our key national public health functions, emergency management, and a range of population health programmes such as oral health, child health, Pacific Health, tobacco control, and immunisation.

 

The National Cervical Screening Programme is a busy programme in a high activity period. We need an Executive Assistant based in our Wellington office to provide high quality, timely support, including dealing with matters of a sensitive nature. In particular, you will:

  • provide logistical support and diary management with a strong focus on forward planning and time management, ensuring the Manager and team has the tools and information they need to achieve their priorities
  • work closely and communicate regularly with the Manager to provide support to the smooth operation of the daily activity of the Programme
  • manage correspondence in a way that ensures everyone is investing their time on the right outcomes and deliverables
  • manage invoices and support the preparation of consultation papers and health reports
  • support colleagues with preparation and event management of external meetings
  • review process and document applications for primary health provider training

 

In addition to your proven experience supporting a leader, you will bring initiative, pragmatism and common sense to the role. Your people skills will be paramount. You'll be genuine, personable and approachable, able to build relationships and be eager to collaborate with others across the business. You'll have a genuine desire to help your managers and everyone else, and have a flexible mind-set around how you can do that.
