Mō tēnei tūranga mahi | About this role

This role will suit someone with a strong administrative background who is interested in broadening their experience by working in the fast-paced and varied environment of a central government agency. 

The Coordinator supports the Team Leader to manage the Information@dpmc.govt.nz mailbox and assists the Ministerial Advisers with the effective and timely flow of responses to OIA and Privacy Act requests, Ministerial correspondence, proactive release and Written Parliamentary Questions (WPQs).

The Coordinator is also responsible for producing regular reporting for Ministerial Services and provides some general administrative support across the wider SGE Group, as required.

As a Coordinator you will:

  • Manage the DPMC Information mailbox including responding to direct correspondence, and logging items for processing by the Advisers (in conjunction with the Team Leader), and directing/redirecting correspondence as appropriate
  • Manage and maintain the DPMC workflow management tool (Moto) on behalf of the Ministerial Services team to provide coordination, monitoring and reporting functions.
  • Work with the team and Managers to ensure reporting is accurate, timely and up-to-date
  • Provide assistance to DPMC staff about the processes, procedures and requirements relating to OIA and Privacy Act requests, proactive release, WPQs and Ministerial correspondence
  • Provide back-up support to the team when requested, including assisting with redaction and other activities.
  • Provide administrative support to other parts of the SGE as requested.

  • Have discretion and tack to handle sensitive and private information.
