Te whiwhinga mahi | The Opportunity
We are looking for a high performing adminstrator who seeks out improvement opportunities and takes action. You will need excellent communication and interpersonal skills to deal with a range of stakeholders across Starship’s 27 services. You will enjoy thinking a step a head and anticipating the linkages between events, activities and people. Ideally you will have great writing skills that can support communications at various levels across the Directorate. You will provide comprehensive secretarial, administrative and executive level support to the Leadership team for Starship Child Health. Your support will ensure our whānau, families, and communities thrive; and are committed to achieving equitable outcomes for Māori Health and supporting the mana of Te Tiriti o Waitangi and progress health equity. The primary purpose of the role is to provide high level administrative support to the Starship, Child Health senior leadership team ensuring that they are able to work efficiently and effectively and their time is well managed in line with their strategic objectives. This includes (but not limited to):
- Administrative Support
- Operational Reporting and Communications
- Project and Surge/Incident Support

As an experienced PA, you will ensure that the leadership team have excellent administrative support, enabling them to focus on business development and high-level management issues. You will be an excellent organiser and communicator with a proactive and friendly attitude. You will have the multi-tasking ability and flexibility to work in this dynamic and ever-evolving environment, and will work well under pressure to meet tight deadlines. No two days are the same in this challenging environment and you will need to make full use of your superior organisational skills to ensure the leadership team is in the right place at the right time fully prepared with the right information. Diary and correspondence management, co-ordinating meetings, minute taking, arranging travel, preparing presentations will be part of your core duties. There is the opportunity to take on a variety of stimulating project work.
To succeed in this role , you will have :
- A minimum of 2 years + in a similar role supporting senior managers in a large complex setting
- Expert diary and email management and clerical skills with the ability to work autonomously and a great attention to detail and at the same time be flexible and proactive
- Proficient computer skills – including experience using corporate financial and HR systems and being a highly proficient user of the Microsoft Office Suite
- Excellent organisational skills and attention to detail with a strong analytical and problem solving ability
- Great people and interpersonal skills accompanied by customer service and quality orientation
- High level of personal and professional integrity and can be relied on to maintain the strictest confidentiality
- A great personality with a WOW Factor
A tertiary qualification in data management and office management will be advantageous and so will working in a large, complex organisation (Preferably Healthcare setting)
