Executive Assistant at Civil Aviation Authority of NZ, Wellington
Mō tēnei tūranga mahi | About this role
The Civil Aviation Authority and the Aviation Security Service offer distinctively different career opportunities and embrace diverse talent. All jobs at the Authority contribute to ensuring safe and secure skies to help New Zealand fly.
The Civil Aviation Authority is the regulatory arm of our organisation and the Aviation Security Service is the nationwide provider for aviation security.
About the role
You’ll be the critical right hand to our Deputy Chief Executive (DCE) for People, Culture and Capability. As her Executive Assistant, you’ll keep the wheels running smoothly in a very busy team. You’ll be working closely with our other Executive Assistants, and sometimes our other DCEs, providing them with high-quality, accurate, timely, and professional assistance at a senior level.
Any given day will be different from the one before. We work in a fast-paced, always-changing environment, and you’ll be crucial in planning the most effective and efficient use of your DCE’s time and resources.
There’s an opportunity for you to develop and grow in understanding how human resources works, through participating in projects that are making changes to our HR team.
Beyond all this, in many ways, you can make the role your own!
Let’s talk about what we’d like from you. You’ll be passionate about order and organisation, you’ll enjoy problem-solving, and we want you to have fantastic relationship skills. We’d like you to have been an EA before, but if not, this role would also be for someone with proven and excellent team administration skills, energy, a passion to learn, and looking for an opportunity to step up.
Duties and responsibilities
On any given day you could be involved in:
- Managing your DCE’s diary and coordinating her meetings and travel.
- Developing and preparing documents, minutes, briefing papers, reports and presentations for your DCE, and carrying out background research where needed.
- Ensuring your DCE has all the information she needs for the day’s activities, including meeting deadlines.
- Actively looking for opportunities to improve the efficiency and quality of processes, procedures and documents used throughout the People, Culture and Capability group.
- Making sure internal and external meetings run efficiently by managing their agendas and recording actions.
Skills and experience
You’ll be able to flex your working style to suit your DCE, and you’ll have previous experience improving systems and processes to make an office run smoothly. You’ll have fantastic relationship and administrative skills and know how to manage priorities so that all the DCEs can optimise their time spent on the many and varied daily activities.
You’ll be trusted to produce internal and external communications on behalf of your DCE, so your communication skills must be of a high, professional standard.
You should enjoy variety in your workday, working with ever-changing priorities, and be willing to help out with any of the many tasks needing doing each day.
Apart from work skills, we want someone who’s willing to become invested in our organisational values. They are transparency, integrity, professionalism, collaboration, and respect. These are more than just nice-sounding words to the Authority. We’re all working hard to make sure everyone understands what’s expected of them as employees, what they can expect of the leadership teams, and what every employee of the Authority can expect of each other as workmates.
Why join us?
We invest in our people by helping them develop skills to make a great job of their current role and preparing them for potential future roles in the organisation. This extends to the health and wellbeing of our employees, where we offer flu vaccinations, eye tests and contributions towards eyewear.
Be a part of something from day one by joining one of our sports teams, and an active social club running a variety of events for members and their families.
The Authority is transforming to deliver better results for our aviation community. Join us at this exciting time while we work to develop our new organisational culture and way of working.
