Personal Assistant - Chief of Medicine and Service Managers at Canterbury District Health Board (Christchurch), Christchurch

You will be supporting the Chief of Medicine (CoM) and Internal Medicine Service Managers (SM) who oversee multiple health specialties across medical and surgical services. This position is based at the Christchurch Campus and is a permanent, full-time position working Monday to Friday.
You will have highly developed administrative and organisational skills. You will be a problem solver and will be capable of performing and as an extension of the staff you support will maintain a positive attitude under occasional periods of pressure.
Role Purpose:
- Enabling and supporting the CoM and SM on the Christchurch Hospital campus
- Ensuring communications are efficient and support the application of all CDHB policies, processes and tools, including proactive issues management, relationship management to enable the CoM and SM priorities and business objectives to be successfully achieved
- Working collaboratively with the wider PA group within Christchurch Campus
- Maintaining a high level of trust, confidentiality, reliability and integrity, is very important in this position

- Excellent organisation and time management skills who demonstrates flexibility to address issues that may come up urgently and require an urgent response
- Proactive keeping one step ahead of your managers, always, accepting responsibility for outcomes and delivers results professionally, and solution focused.
- Demonstrates problem-solving skills and shows initiative with operational SM delegations
- Is tech savvy to be able to use CDHB systems to their full potential and efficiency including but not limited to:
- MAX (Including but not limited to exception sheets, managing exit and onboarding cases from beginning to end etc.)
- Oracle (Including but not limited to purchase orders etc.)
- Meeting organisation either in person or online, with the ability to take and produce minutes and agendas, room bookings, room preparation and clearing at end of the meeting.
- Microster entry of hours and amendments to pay
- Someone who will actively manage and navigate future milestones across daily, weekly, and monthly horizons by managing incoming email inboxes highlighting the urgency to the Operational SMor CoM and actioning and replying to emails as a delegate
- Whilst being committed to providing confidential and quality administration support, you will also have a professional and positive approach to your work and be able to deal with ambiguity with confidence
