Administration Coordinator at Te Whatu Ora - Health New Zealand Capital, Coast & Hutt Valley, Kenepuru Hospital/Porirua

Contract:  Permanent, full-time

Salary:  $71,196 - $74,664

Kōrero mō te tūranga - About the role

No two days will be the same in an interesting and varied role that will see you responsible for the smooth day to day administration operation of our services.  You will provide our team with expertise and support so they are able to operate efficiently and effectively. 

This role has the responsibility to provide leadership and oversight to the administration team within Intellectual Disability Services, providing support to the Team Leaders including recruitment, on boarding of new staff and invoicing.  This role also has responsibility for all administrative tasks for Intellectual Disability (ID) Services.

The ability to prioritise workloads and deal with multiple tasks in high pressure situations is essential, along with being able to exercise initiative and judgment when required. You will coordinate workloads and oversee a number of tasks to ensure accuracy and consistency. You will also work to ensure the administration team are following policy and procedures to enhance the performance and day-to-day operational requirements of the service.

Mō tō mātou rōpū - About our team

The ID Service has services for adults, youths and the wider community. Haumietiketike is a regional intellectual disability secure forensic unit, which has eleven beds. Manawai unit is an individualised service for six adults attached to Haumietiketike. The Cottages have eight beds and are located next to Haumietiketike, which is on the Ratonga-Rua-o-Porirua campus in Porirua. 

Hikitia Te Wairua is the national intellectual disability secure forensic youth unit, which has six beds. Hikitia Te Wairua is co-located with the Youth Acute Inpatient Mental Health Inpatient Unit (Rangatahi) and the National Secure Youth Forensic Unit in the Centre of Excellence at Kenepuru Hospital. 

The Community team provides two functions: as a Mental Health Intellectual Disability Team which provides assessment and treatment services in the Wellington region and consultation/liaison and training in the central region; and as a Consultation Liaison team, which provides assessment, and support in the central region to patients whose behaviour has resulted in legal proceedings

Moū - About you

You will be a good problem solver, flexible, and have the ability to build good relationships with a diverse range of staff.  You will also need a Full Driver - s License

  • Proven experience in a high functioning administration role, preferable in a health setting
  • Working knowledge and proficiency in computers programs including Word and Excel
  • Excellent customer service skills
  • Dictation Typing/Word Processing (typing speed of 65 words per minute)
  • Understanding of Te Tiriti o Waitangi, its relationship to health, and the ways in which administration staff can contribute to equitable outcomes for Tangata Whaiora, individual and /or whanau

Experience in leadership and oversight of a small administrative team desirable
