About the Role
Are you an organised, proactive professional, looking to make a meaningful impact in the health and wellbeing of tamariki in Waitaha? We are seeking an Administrator to join our team at PHN (Public Health Nursing Service) located on the Burwood Hospital campus.
In this role you will provide vital administrative support working closely with whānau to facilitate efficient, equitable service delivery while supporting consumers, whānau, clinicians and communities.
As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band4/Profile 4

Key Responsibilities:
- Demonstrate initiative in resolving inquiries with a problem-solving mindset.
- Develop and create reports on behalf of team.
- Ensure data is entered accurately and in a timely manner into electronic systems such as SIPICS, Oracle and other national systems.
- Process referrals with efficiency.
- Schedule appointments from waitlists.
- Deliver administrative tasks, including data entry, answering phones, managing emails, booking appointments.
- Be comfortable handling clinical equipment if required.
- Provide support for other service administrative staff as and when required.
- Share knowledge and foster a positive, supportive team environment.
- Attend clinics as required by the clinical team, provide administrative assistance.
About you
Essential Skills and Experience:
- Accurate and proficient computer skills, including intermediate knowledge of the Microsoft office suite including Excel, Word and Outlook. Strong Excel skills are required.
- Strong organisational and time management skills.
- A client-focused approach, with excellent communication skills (written and verbal).
- Proven ability to work both independently and as part of a collaborative team.
- Demonstrate an understanding of the significance of and obligations under Te Tiriti O Waitangi, including how to apply Te Tiriti principles in a meaningful way in your role.
- Ability to handle ambiguity and inconsistency associated with rapidly changing environments.
Desirable Skills & Experience:
- Broad administrative experience in a health or social service-related field.
- Familiarity with patient management systems
- Previous experience as an administrator in a complex organisation
- Experience working with whanau from diverse cultures and beliefs.
