About the Role
We are looking for a Clinical Administrator to join our team in the medical day unit to play a vital role in ensuring our patients receive timely, efficient care in line with Ministry of Health (MoH) targets and Waitaha Canterbury standards.
In this role, you - ll work closely with the Team Leader, Service Manager, and Clinical Director/Triaging Clinician to support outpatient clinic appointments, elective admissions, and patient management processes.

Key Responsibilities:
Customer Service Excellence:
- Provide friendly, professional front-of-house support to patients, clinicians, and service users.
- Ensure patient confidentiality and privacy is always maintained.
- Identify patients who are unwell or require urgent care and refer them to nursing staff promptly.
Patient Management & Booking:
- Manage patient bookings from referral through to admission, following Waitaha Canterbury and MoH guidelines.
- Prioritise bookings based on clinical need and waiting times.
- Ensure all data entry is accurate and completed in a timely manner.
- Communicate clear and concise booking information to patients.
- Seek clinical direction when required, particularly for re-categorisation queries.
Clinic & Inpatient Coordination:
- Schedule clinic appointments according to clinic templates and maintain high clinic utilisation.
- Minimise cancellations by working within the six-week booking horizon.
- Prepare clinics and ensure outcomes are managed according to business rules and National Patient Flow requirements.
- Coordinate surgical list utilisation in collaboration with surgeons and service managers.
- Manage cancellations following standardised processes.
Wait List Management:
- Ensure surgical wait lists and SI PICS wait lists remain aligned and accurate.
- Prioritise patients based on - greatest need, longest wait - principles.
- Collaborate with clinical and service management teams when clarification is needed.
Communication & Team Support:
- Maintain positive, professional relationships with patients, clinicians, and colleagues.
- Communicate clearly, openly, and responsibly while maintaining confidentiality.
- Proactively seek feedback and act on it to improve service delivery.
- Contribute to a supportive and collaborative team environment.
About the Team/Service/ Location
The Medical day unit operates from Monday to Friday (0730-1800) and selected public holidays (0830-1700).
About you
Essential Skills & Experience:
- Strong customer service skills with a patient-focused approach.
- Technical proficiency and quick learning with data systems and applications.
- Excellent organisational, time management, and problem-solving skills.
- High levels of accuracy and attention to detail.
- Ability to meet deadlines and work independently without supervision.
- Strong coordination skills to manage multiple inputs and achieve agreed outcomes.
- A collaborative team player with excellent written and verbal communication skills.
- Proficiency in Microsoft Word, Outlook, and Excel with strong keyboard skills.
- A proactive approach with demonstrated perceptiveness in an administrative role.
Desirable Skills & Experience:
- Broad administrative experience within a health-related field.
- Awareness and sensitivity to people of differing cultural backgrounds.
- Knowledge of medical terminology.
- Familiarity with the public hospital system and patient management systems (e.g. SI PICS).
