About the role

We are seeking an Administrator to join our team at our Gastroenterology Day Unit, contributing to the smooth running of outpatient and inpatient booking processes.

This position is permanent full time working 40 hours per week.

As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 4/Profile 4A

Key Responsibilities:

  • Customer Service: Deliver excellent customer service to patients, clinicians, and others accessing our services. Ensure patient confidentiality and privacy are always maintained.
  • Front of House Duties: Greet patients, update demographic details, and refer unwell or infirm patients to nursing staff.
  • Patient Management System (SI PICS): Use the SI PICS and associated clinical systems to manage bookings, ensuring all data entry is accurate, timely, and meets Ministry of Health (MoH) guidelines.
  • Clinic Utilisation: Ensure clinic bookings are made per the template, maintaining a high level of utilisation while minimizing cancellations.
  • Inpatient & Wait List Management: Coordinate elective surgery lists, adhering to the Waitaha Canterbury and MoH "greatest need, longest wait" principles.
  • Miscellaneous duties as requested
About you

 

Skills and experience

  • Excellent customer service skills and a patient-focused approach.
  • Technically savvy, with experience using data systems and the ability to quickly learn new applications.
  • Strong organizational, time management, and problem-solving skills.
  • High attention to detail, accuracy, and the ability to meet deadlines independently.
  • Intermediate to advanced proficiency in Microsoft Office (Word, Outlook, Excel).
  • Strong written and verbal communication skills.
  • Experience working in an administrative role, ideally in a health-related field.
Desirable:
  • Knowledge of medical terminology and familiarity with the public hospital system, including patient management systems.
  • Awareness of cultural diversity and the ability to interact respectfully with people from various backgrounds.
