Clinical Administrator | Christchurch Hospital at Health New Zealand - Te Whatu Ora Waitaha Canterbury, Christchurch

  • Permanent part time position working 36 hours per week (working 9 days a fortnight 8.30 to 5pm)

About the Role

We are seeking an organised and customer-focused Clinical Administrator to support patient access to healthcare services within our busy clinical team. This role is responsible for coordinating patient bookings, supporting clinic flow and maintaining accurate administration processes in line with Health New Zealand and Ministry of Health (MoH) guidelines.

Working closely with clinical and administrative teams, you will help ensure patients receive timely access to care while contributing to service targets, waitlist management and quality administrative support.

As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 4/Profile 4

Key Responsibilities

Patient Booking & Clinic Coordination

  • Schedule and manage outpatient and inpatient bookings in accordance with Health NZ and MoH guidelines
  • Support smooth patient flow through clinics by coordinating arrivals, departures and clinic utilisation
  • Ensure booking processes align with diagnostic and planned care requirements
  • Communicate booking information clearly and professionally with patients
  • Maintain accurate and auditable electronic data entry within patient management systems

Waitlist & Administration Management

  • Maintain waitlists in line with planned care and national waiting list guidelines
  • Manage cancellations, reschedules and missed appointments appropriately
  • Monitor clinic bookings and patient attendance, for continuity of care
  • Support clinic preparation and outcome processing as required
  • Identify and escalate issues impacting patient flow or service delivery

Customer Service & Team Support

  • Deliver professional, empathetic and respectful customer service to patients, clinicians and colleagues
  • Maintain patient confidentiality and privacy at all times
  • Undertake front-of-house administration duties
  • Work collaboratively across clinical and administrative teams to support efficient service delivery

About You

You will be a proactive administrator with excellent organisational skills, strong attention to detail and a passion for providing outstanding customer service in a healthcare environment.

Essential Skills & Experience

  • Excellent customer service and communication skills
  • Strong organisational, time management and problem-solving abilities
  • High level of accuracy and attention to detail
  • Ability to manage multiple tasks and meet deadlines
  • Confidence learning and using new systems and applications
  • Intermediate to advanced Microsoft Office skills including Word, Outlook and Excel
  • Ability to work independently and collaboratively within large teams
  • Strong written and verbal communication skills
  • Proactive approach to administration and record keeping

Desirable Skills & Experience

  • Previous administration experience within healthcare
  • Knowledge of medical terminology
  • Excellent keyboard skills (50'70 wpm)
  • Familiarity with public hospital systems and patient management systems
  • Awareness and understanding of diverse cultural backgrounds
